Custom Fields are created by the Administrator and are used for the descriptions of Buildings and Units, and also help to provide information about the Unit/Building.
Custom Fields can consist of both text and images, and can then be pulled through to be used in Email Templates.
It is important to note that the Custom Field Template you create will be added to all Units or Buildings in the system (depending on which you have created one for).
Adding a Custom Field Template
1 - Go to the Admin menu, hover over 'Templates', and select 'Custom Field Templates'.
2 - Here you will be shown a list of all the Custom Field Templates that have already been added to the system. Click 'Add Custom Field Template'.
3 - Fill in a 'Name' for the Custom Field Template, e.g. Wi-Fi Code.
4 - Select a 'Type' for the Template. By clicking the drop-down arrow you have four options:
- Text - This is used for short text, such as a Wi-Fi Code.
- File - This is used if you wish to attach a file such as an image.
- Long Text - This is used for longer text, such as detailed descriptions of the Building or Unit.
- Number - This is used for numbers, such as an entry Code.
5 - Using the drop-down arrow, select what this Template is For. You have the option to choose 'Building' or 'Unit'. In our example we have chosen 'Unit'.
6 - Looking at all the information we have filled in, we can see that with our example the Custom Field Template is the Wi-Fi Code for a Unit, and is in text form. You can also see how many units or buildings are currently using the custom field that you have created.
7 - When you are happy with what you have filled in, click 'Save Custom field template'.
8 - The Custom Field Template you have just saved will now have been added to the list that were already on the system.
Using Custom Field Templates
1 - Depending if you have just created a Template for a Unit or a Building, go to the Properties menu and select either 'Buildings' or 'Units'.
2 - Click on a Unit or Building (in our case we have chosen a Unit because we added the Custom Field Template to a Unit).
3 - Click 'Edit Unit', or if you have added a Template for a Building, click 'Edit Building'.
4 - Scroll down and you will see that the Custom Field has been added. Click in the box and type your desired text. Our example is a Wi-Fi Code, so here we have typed 'Res:Harmonics Wi-Fi'.
5 - When you have finished, scroll up and click 'Update Unit'.
