Key Sets are used for storing details about physical individual Keys, or Sets of Keys, which are used for Properties. To help with managing your physical Keys, they must first all be added to the ReRum system.
Once added, you can then allocate your Key Sets to either a Building or a Unit and then check them in or out to either a location, an internal person, an external company (i.e. a plumber) or a guest.
If relocated, the Set of Keys can be checked out to another Key Location, whereby the status of the Keys would be set as 'Potential', meaning there is a possibility the key is there, or 'In transit', meaning they Keys are moving from one place to another. In addition, if the status is 'Overdue', this means they have not been checked in or out at the correct time, and if the status is 'Missing', then the Keys cannot be located.
The clear advantage of using Key Sets is knowing the whereabouts of all your Keys at any point in time.
Adding Key Sets
1 - Go to the Admin menu, hover over 'Operation Settings', and select 'Keys'.
2 - Here you will see a list of all the Keys currently on the system. Click 'Add Key Set'.
3 - When prompted, fill out the boxes and use the blue search button to search for the Home Location (where the key is stored), as well as the Building and the Unit that the Key is used for.
4 - The 'Type' states who the Key is for, and if this is set as 'Guest', then a 'Primary Guest Key' slider will appear; if this is the main Key for the Guest, then this slider should be clicked, turning it from red to green.
5 - Click 'Save Key Set'.
6 - If you scroll down you will now see the current status of the Key, as well as any previous updates, therefore allowing you to know whereabouts it is.
